- Dean’s Instruction on Student Declarations, Individual Study Mode, and Registration for Bachelor Seminars (in force from 1st October 2025)
Dean’s Instruction on Student Declarations, Individual Study Mode, and Registration for Bachelor Seminars
Pursuant to §3, 12 and 19 of the Study Regulations, the following rules are hereby established:- The student is obliged to submit a semester declaration for the following semester in accordance with the schedule published on the website of the Dean’s Office (DSL). Failure to submit the declaration may be regarded as failure to undertake studies and may constitute grounds for removal from the register of students.
- Students are required to select compulsory courses for a given semester first, in accordance with the sequence determined by the Dean or the Programme Council of the relevant field of study. If a student fails to select compulsory courses, the Dean reserves the right to modify the content of the declaration.
- If a course is not offered in a given semester, the student may apply to complete it in the individual study mode, by submitting an application via the USOS system within one month from the start of the semester. The application must include the lecturer’s consent, expressed in writing or by e-mail sent from an official SGH e-mail account.
- The selection of a Bachelor’s thesis seminar is obligatory by the end of the fifth semester of studies, in accordance with the seminar registration schedule, and is completed upon the supervisor’s approval of the student’s registration in the USOS system. The Bachelor’s thesis seminar may be taken in the fifth or sixth semester.
- Failure to select a seminar within the prescribed time limit may result in the student being assigned to a supervisor designated by the Dean.
- In justified cases, a change of thesis supervisor is possible. To do so, the student must submit an application in the USOS system, including the consent of both the current and the new supervisor. A change of supervisor does not constitute grounds for requesting an extension of the Bachelor’s thesis submission deadline.
This Instruction enters into force on 1 October 2025.
Registration for Physical Education classes is held in separate declaration (CWFiS), and registration for language classes is held directly by the Foreign Language Centre CNJO.
According to the Rules and Regulations of Studies 30 ECTS is required to pass the semester. Detailed information about the binding plan of studies can be found on the website STUDY PLAN.

- You can only withdraw from courses that are not mandatory, which means that you cannot withdraw from basic courses, major courses, languages and Physical Education classes. In addition, you cannot withdraw from repeated courses.
- Each of the courses available in the form is described in a way that suggests whether it is possible to unsubscribe from it or not. However, due to the different status of the same courses for individual students (related to different fields of study, etc.), the above-mentioned information should be treated only as an indication requiring verification (i.e. checking with an individual program and study plan).
- In the form, the student has the opportunity to choose only one course.
- The choice of the course made by the student is recorded in the database. However, during the period when the form is available, it is possible to change the decision and choose another course from the list or completely withdraw the request.
- In the case of courses starting in the middle of the semester, it will not be possible to withdraw electronically (i.e. you will have to submit an application with a request to unsubscribe; the application should refer to §23.12 of Rules and Regulations).
- After the deadline to submit the request, the Dean after verification of the applications makes the decision. Indicating the subject and submitting the request for unsubscription in the system is not tantamount to accepting the application.
- If the decision to withdraw from a given course is positive, then the annotation “Course deleted” will appear in the “Decision” column (otherwise the annotation “Application rejected” will appear).

- Stage 1 for students declaring course - preferences
31 October 2025 (Friday) 10.00 a.m. – 5 November 2025 (Wednesday) 10.00 a.m.
The aim of this stage of declarations is to assess the number of students wishing to enroll on any given course. The data collected determine whether the course will be launched or not. The rules of starting classes are governed by the Rector’s Order No. 61 of 11 August 2021 on group size limits for particular types of teaching and the rules for accounting for certain classes.
ATTENTION: Until the preference stage is closed, you can freely change the contents of the cart, that is add and remove subjects from it. However, please note that once the preference stage is closed, it will not be possible to unsubscribe from mandatory subjects (except in special cases of collisions).
7 January 2026 (Wednesday)
Publication of the preliminary schedule for spring semester 2025/2026 on the Undergraduate Studies’ website.
- Stage 2 for students declaring course
Phase 1 – deletion of colliding courses and unsubscribing from non-mandatory courses
9 January 2026 (Friday) 10.00 a.m. – 12 January 2026 (Monday)10.00 a.m.
In the first phase of the second stage, it is possible to remove collisions between subjects and unsubscribe from non-mandatory subjects. The phase is available only to students who participated in the first stage of declaration (preferences).
CAUTION – unsubscribing from non-mandatory subjects is possible only in this phase of student declarations, while for compulsory classes, unsubscribing is possible only in special cases described in the instructions.
Courses that remain in your cart after phase 1 are obligatory to attend and pass next semester. Subscriptions for classes are binding during next stages nad there are no further chances to unsubscribe. Students who got enrolled on a course after the ‘preferences’ stage have a guaranteed place in the group unless there is a collision in the schedule.
At the same time the „exchange” of subjects will take place, during which the change of exercise groups is possible.
During this phase it is not possible to sign up for any classes. Subscription to classes will take place in the next phases.
13 January 2026 (Tuesday) – 14 January 2026 (Wednesday)
Technical break – automatic deletion of colliding courses (Out of ‘collision’ courses - the mandatory ones will not be erased, however if both ‘collision’ courses are mandatory - both will be erased).
Phase 2 – subscription to the launched classes by students who participated in the first stage of declaration (preferences)
15 January 2026 (Thursday) 10.00 a.m. – 19 January 2026 (Monday) 10.00 a.m.
At this stage, it is possible to subscribe to the launched classes. If more people request to enroll in a class than the available limit of free places, a ranking will be carried out after this round, as a result of which the students with the highest ranking will be enrolled in the group. Therefore, it is worth thinking about the choice of groups - it may be better to make a request to join a group with fewer applicants and have a better chance that after the ranking the enrollment will not be canceled.
Until the close of the phase, it is possible to make requests for additions to groups and to withdraw them. After the phase closes, it will no longer be possible to unsubscribe from classes that remain in the cart.
20 January 2026 (Tuesday) – 22 January 2026 (Thursday)
Technical break, ranking and group assignment.
Phase 3 – subscription to the launched classes where places are available
23 January 2026 (Friday) 10.00 a.m. – 27 January 2026 (Tuesday) 10.00 a.m.
This phase is open to all students, including for the first time those who did not participate in the first stage of declaration (preferences). During the third phase, there is an opportunity to join the launched classes as seats are available (first-come, first-served principle).
At the same time there will be the “exchange” of subjects.
Until the end of the phase, it is possible to join and unsubscribe from classes declared during the phase. After the end of the phase, it is not possible to unsubscribe from classes that remain in the cart.
During this phase incoming exchange students coming to SGH within international exchange programs have the possibility to add and drop courses.

At this stage, it is possible to submit a request to be added to the class. If there are vacancies in the group, requests will be accepted automatically. On the other hand, if the limit of places has been exhausted, it is necessary for the lecturer to confirm admission to the group in the USOS system by 19 February 2026.
- Rules for assignment to courses and groups
Assignment to classes is made taking into account the ranking position resulting from the bonus table and, when it is possible to determine, from the cumulative average of study or enrollment points. Rankings are created independently for each subject. Assignments are made in order from basic subjects, through majors and subjects related to the major, and finally elective subjects. If there is a collision of subjects preferred by a student, another class group (identified on the basis of aggregated preferences of all students) with available seats is selected.
